Send tracking to Skuvelo with your own AI agent
Let your own Claude or ChatGPT find tracking numbers in supplier and forwarder email and send them to Skuvelo, with copy-paste prompts and the do's and don'ts.
Your own AI assistant reads your supplier and forwarder email, finds the tracking numbers, and sends Skuvelo only the numbers and a few shipping facts. Skuvelo matches each one to the right purchase order or shipment and asks you before anything changes. Skuvelo never receives the email itself, and you can always add tracking by hand on Shipments & Tracking.
What Skuvelo does with each number
Every number your assistant sends gets one of six answers, and your assistant reads them back to you:
- Proposal: matched to one purchase order or shipment. It waits for your one-tap approval, or applies at once if you turned on auto-apply.
- Duplicate: already on that shipment. Nothing changes.
- Conflict: the number is already recorded somewhere else: another order's shipment, a closed shipment, a transfer, a shipment back to a supplier, or another proposal still waiting for approval. Skuvelo never moves it on its own; you decide.
- Needs your choice: several open orders or shipments fit, or a quantity came without the SKU it belongs to. Your assistant can retry with a PO number and SKU. When Skuvelo lists choices, you can also pick one on Shipments & Tracking.
- Unmatched: nothing open fits, or more than five open orders or shipments do. Your assistant can retry with the PO number. It stays in the AI agent tracking list on Shipments & Tracking until you dismiss it. If it belongs to a shipment, add the number to that shipment yourself.
- Rejected: not a valid tracking, container, bill of lading or PRO number.
Some proposals carry a warning you should read before approving: more units than are left to ship on the PO line, a container number seen on an earlier voyage (shipping lines reuse containers), or a number that looks like an earlier leg than one already recorded.
Step 1: connect Skuvelo to your AI
If your assistant is already connected, skip this. Otherwise follow Connect your AI for Claude or ChatGPT. When Skuvelo asks what the assistant may do, allow Send shipment tracking numbers from your email for your approval. An assistant connected before this permission existed has to be reconnected once to get it.
To take access away, open Connect your AI and disconnect. Removing the connector only inside Claude or ChatGPT does not revoke Skuvelo's side.
Step 2: connect your email to your AI
In Claude or ChatGPT, add the Gmail or Outlook connector from the assistant's own connector settings. Choose the least access it offers that can still read messages: read-only, and never send or delete. Your email connection belongs to your AI account; Skuvelo never sees your email login.
Step 3: copy these prompts
Each prompt below was tested word for word against Skuvelo's tool by Claude Opus 5.5 reading eleven sample supplier and forwarder emails (4 October 2026). The test mailbox was a folder of sample emails, not a live Gmail or Outlook connection, and ChatGPT has not been tested yet.
Check the last week once
> Check my last 7 days of supplier and forwarder email for tracking numbers. For each shipment, call Skuvelo's propose_shipment_tracking tool once with only the numbers, the sender's email address or supplier name, the email's date, and any PO number, SKU, quantity, carrier, mode, vessel, voyage, ETD and ETA the email states. Do not send the email text, attachments, or anyone's name, address or phone number. Then list each number with Skuvelo's result: proposal, duplicate, conflict, needs choice, unmatched or rejected.
Every day
Claude calls this a scheduled task and ChatGPT calls it a scheduled task or routine. Create one that runs each morning with:
> Check supplier and forwarder email received since yesterday's check for tracking numbers. For each shipment, call Skuvelo's propose_shipment_tracking tool once with only the numbers, the sender's email address or supplier name, the email's date, and any PO number, SKU, quantity, carrier, mode, vessel, voyage, ETD and ETA the email states. Do not send the email text, attachments, or anyone's name, address or phone number. Tell me only what needs me: needs choice, unmatched, conflict, and proposals waiting for approval.
If your plan cannot schedule tasks, paste the same prompt each morning.
What did you send?
> Use Skuvelo's list_tracking_proposals tool to show what you sent today and its result. List the ones that need my choice, are unmatched, or are in conflict first. Do not guess that a number landed; only report what Skuvelo answered.
Fix one that needs a choice
> Retry tracking number [NUMBER] with Skuvelo's propose_shipment_tracking tool, adding PO number [PO NUMBER] and, if I gave one, SKU [SKU] and quantity [QUANTITY]. Keep the same sender and date as before. Tell me Skuvelo's new result. If it is still not matched, tell me what is missing and leave it for me to place in Skuvelo.
When the choice is between shipments, including starting a separate shipment for the same PO, make it yourself on Shipments & Tracking: your assistant can not pick a shipment for you.
Approve or let it apply
Proposals land in your approvals with Your AI agent as the source. A person who can manage inventory approves them; a warehouse role never can. Once you trust the matches, an admin can switch AI agent tracking on Connect your AI from *Ask me first* to *Apply high-confidence updates*. Even then, anything with a warning, a conflict or no PO reference still waits for you, and so does everything from an assistant connected by someone who cannot manage inventory.
What else your private AI agent can do
The same connection answers questions from your Skuvelo data. Try:
- "Using Skuvelo, which items are at risk of a stockout in the next 30 days, and when does each run out?"
- "Using Skuvelo, which purchase orders are due to arrive this week?"
- "Using Skuvelo, what should I reorder now, and why?"
- "Using Skuvelo, where am I carrying excess stock, and how much is it worth?"
- "Using Skuvelo, what is the status of PO [PO NUMBER], and what is still to arrive?"
- "Using Skuvelo, draft a purchase order to [SUPPLIER] for [SKU and quantity]. Leave it as a draft for me to review."
Your assistant reads only what your Skuvelo role can read, and anything it writes is a draft or a proposal waiting for a person, unless you turned on *Apply high-confidence updates* for tracking.
Do's and don'ts
- Don't paste passwords, API keys or card numbers into an AI chat. Skuvelo staff will never ask for your AI or email login.
- Don't send anyone's names, addresses or phone numbers. The tracking tool has no place for them and never needs them.
- Do give your assistant the least email access it offers.
- Do review proposals before approving until you trust the matches.
- Do use your AI provider's business or no-training settings. Anything you send an AI provider leaves your control and can be logged or intercepted.
- Do disconnect the assistant on Connect your AI, and remove its email access at your email provider, if a device or AI account is lost.
