Send supplier email to Skuvelo with your own AI agent

Let your own Claude or ChatGPT pass supplier confirmations and new ship dates from your mailbox to Skuvelo each day, with copy-paste prompts and the privacy rule.

Last updated

Your own AI assistant reads your supplier email and sends Skuvelo only the part about your purchase orders. Skuvelo reads the order details out of it, such as an acknowledgement or a new ship date, and asks you before anything changes. Use this when you cannot set up a forwarding filter, as described in Send supplier email to Skuvelo.

Skuvelo keeps only the extracted fields, never the email text. It reads what your assistant sends, keeps the supplier, date, PO number and what was agreed, and deletes the text.

What Skuvelo does with each email

Your assistant reads back one answer per email:

  • Accepted: Skuvelo matched the sender to a supplier and, where it can, to a purchase order. An acknowledgement or a new ship or delivery date waits on that order for your one-tap accept.
  • Duplicate: Skuvelo already has this email, from your assistant or from your forwarding filter. Nothing changes.
  • Sender not matched: the email is still kept on Supplier inbox for you to assign to a supplier.

Nothing on an order changes until you accept it.

Step 1: connect Skuvelo to your AI

If your assistant is already connected, skip this. Otherwise follow Connect your AI for Claude or ChatGPT. When Skuvelo asks what the assistant may do, allow Send supplier emails from your mailbox to Skuvelo. It is off unless you allow it. An assistant connected before this permission existed has to be reconnected once to get it, and the person who connects it must be able to create purchase orders.

To take access away, open Connect your AI and disconnect. Removing the connector only inside Claude or ChatGPT does not revoke Skuvelo's side.

Step 2: connect your email to your AI

In Claude or ChatGPT, add the Gmail or Outlook connector from the assistant's own connector settings. Choose the least access it offers that can still read messages: read-only, and never send or delete. Your email connection belongs to your AI account; Skuvelo never sees your email login.

Step 3: copy these prompts

Check the last week once

> Check my last 7 days of email from my suppliers and freight forwarders. For each email about a purchase order, call Skuvelo's submit_supplier_message tool once with the sender's email address, the subject, the date it was sent, the PO number if it states one, the Message-ID if you can see it, and as text only the order-relevant part: the acknowledgement, dates, quantities, prices, PO and invoice numbers. Leave out signatures, quoted earlier messages, attachments, and anyone's name, address or phone number. Never send email from customers. Then list each email with Skuvelo's result.

Every day

Claude calls this a scheduled task and ChatGPT calls it a scheduled task or routine. Create one that runs each morning with:

> Check email from my suppliers and freight forwarders received since yesterday's check. Tell me only which emails changed a date or need me, and which senders Skuvelo could not match.

If your plan cannot schedule tasks, paste the same prompt each morning. Sending the same email again is safe: Skuvelo answers duplicate.

Accept on the purchase order

An acknowledgement or new date shows under Supplier correspondence on the purchase order, waiting for you to accept. Accept what they said applies it, including a new ready-to-ship date. Keep the order as it is leaves the order unchanged.

Limits

Each connected assistant can send up to 60 emails an hour. Your plan's daily supplier email allowance counts these emails the same way as forwarded ones. An assistant you limited to some suppliers can only send email from those suppliers.

Do's and don'ts

  • Don't send customer email, or anything that is not about a purchase order.
  • Don't paste passwords, API keys or card numbers into an AI chat. Skuvelo staff will never ask for your AI or email login.
  • Do give your assistant the least email access it offers.
  • Do use your AI provider's business or no-training settings. Anything you send an AI provider leaves your control and can be logged or intercepted.
  • Do disconnect the assistant on Connect your AI, and remove its email access at your email provider, if a device or AI account is lost.
