Send supplier email to Skuvelo
Forward your suppliers' email to your Skuvelo intake address with a Gmail filter or an Outlook rule, confirm Gmail forwarding, and see which suppliers are coming through.
Last updated
Skuvelo reads supplier confirmations, shipping notices and invoices from an intake address. You forward your suppliers' mail there with a filter in your own mail account. Skuvelo never connects to your mailbox.
Open Forward supplier email on Supplier inbox. It builds the filter from your suppliers, so you can copy it instead of typing it.
Who goes in the filter
Each supplier with an email address is in the sender list:
- A business address (orders@acme.com) adds the whole domain,
@acme.com, so mail from anyone at that supplier is forwarded. - An address on a free-mail or internet-provider domain (Gmail, Outlook, Yahoo, Comcast and similar), or on your own company's domain, adds only that exact address. Forwarding all of
@gmail.comwould send everyone you know to Skuvelo, and your own domain would forward your colleagues.
A supplier with no email address is not in the list. Add one on Suppliers and it joins the filter the next time you copy it.
Gmail
- In Gmail, open Settings › See all settings › Forwarding and POP/IMAP and choose Add a forwarding address. Paste your intake address.
- Gmail emails a confirmation code to that address. Skuvelo catches it and shows it on the coach: "Gmail sent your confirmation code". Paste the code in Gmail, or open the link shown with it.
- Paste the filter query into Gmail's search box, choose Create filter, tick Forward it to and pick the intake address.
A long supplier list is split into several queries, because Gmail limits how long a filter can be. Create one filter for each query.
Outlook.com
Open Settings › Mail › Rules › Add new rule. Set the condition to From contains the senders in the list, and the action to Forward to your intake address.
Microsoft 365
The rule is the same as Outlook.com, but Microsoft 365 blocks forwarding to outside addresses by default. Forwarding looks set up and nothing arrives. If nothing has arrived two days after you created the intake address, the coach warns you.
Ask your Microsoft 365 admin to allow forwarding to your intake address, or to add a mail-flow (transport) rule that copies mail from these suppliers to it.
Check each supplier
The table under the steps shows each supplier's status:
- Working: mail from them arrived in the last 21 days.
- Not yet seen: nothing has arrived from them yet.
- Quiet: mail has come from them before, but none in the last 21 days.
- No email: add an email to forward their mail.
When a supplier has an open purchase order and nothing has arrived from them for 21 days, the table says so and names the domain to check in your filter.
When you cannot add a filter
If your mail account blocks forwarding, your own Claude or ChatGPT can pass supplier email to Skuvelo instead. See Send supplier email to Skuvelo with your own AI agent.
What Skuvelo keeps
Skuvelo keeps what it reads from each supplier email and discards the rest. From Gmail's confirmation email it keeps only the code, the link and when it arrived. That is deleted once you have seen it, and after a day at the most. It never appears as supplier mail.
