Sample purchase order

Three lines from a clothing supplier, with $45 shipping and an 8% tax rate. These are the numbers the sheet's formulas produce.

How to fill it in

PO number and date
Give every order its own number, in sequence, so you and the supplier can refer to it on invoices and receipts.
Expected delivery date
The date you need the goods, agreed with the supplier.
Payment terms
When you pay: for example Net 30, or a deposit now and the balance before shipping.
Supplier and ship to
Who you are buying from, and the address the goods go to.
Line items
One row per SKU: description, quantity and unit cost. The line total fills in once quantity and unit cost are both entered.
Shipping and tax rate
Enter the freight charge, and the tax rate as a plain number: 8 for 8%. Typing 8% instead makes the sheet read 0.08 and undercharge tax a hundredfold. The sheet applies tax to the subtotal only; add shipping to the taxed amount yourself if your rules require it.
Terms and notes
Anything else the supplier must follow: packing, labelling, delivery windows.

Excel and Google Sheets

In Excel, open the CSV and save it as a workbook so your formatting stays. In Google Sheets, choose File, then Import, and upload the CSV. The line totals and order totals are live formulas in both.

Not sure how many to order? The order quantity calculator works out a quantity with case-pack rounding.

From a template to a drafted order

A template records an order you have already worked out. Skuvelo works it out: it tells you what to reorder, how many and when, then drafts the purchase order for you to review, packed to case size and minimums. Sending it to a supplier is always a deliberate action you take. See how Skuvelo drafts purchase orders.

Questions

Is the purchase order template free?

Yes. Download the CSV without an email address or sign-up.

What should a purchase order include?

A PO number and date, the supplier and ship-to addresses, each line's SKU, description, quantity and unit cost, the order total, payment terms and the date you expect delivery.

How does the template calculate totals?

Each line total is quantity × unit cost, rounded to cents. The subtotal sums the line totals, tax is the subtotal × your tax rate, and the total adds subtotal, shipping and tax.

Can I use it in Excel or Google Sheets?

Yes. Open the CSV in Excel or import it into Google Sheets; both read the included formulas.

Is a purchase order a contract?

Once the supplier accepts it, a purchase order usually records the agreed items, prices and terms. Check with your own adviser for what applies to you.
